The Brief
In January, Incyte Biosciences International brought 180 delegates from across Europe to Limassol, Cyprus, for their annual kick-off meeting. The objective was twofold: to align the team for the year ahead through collaborative challenges and to make a tangible social impact on the local community. The program required a seamless transition from intensive teambuilding in the historical city center to a high-concept, celebratory gala.
The Creative Concept: “Heroes for Sagapo”
We developed an integrated theme where delegates didn’t just discuss leadership—they acted as “heroes” for the local community. The first day focused on “Heroes for Sagapo,” where teams completed cultural challenges to “earn” tools for a charity assembly. This culminated in a high-octane “Superheroes Gala,” where the metaphorical heroism of the day was celebrated with world-class entertainment and high-end production.
The Execution
Day 1: Cultural Challenges & Charity Assembly
- Old Town Rotation: Divided into 15 superhero-themed teams, delegates navigated Limassol’s Old Town. They rotated through four immersive stations:
- Pottery Workshop: Creating clay jugs using ancient Cypriot Bronze Age techniques.
- Zorba Dance Class: Learning the steps for a surprise communal performance.
- Wine & Food Tasting: Identifying local delicacies and sampling traditional Commandaria.
- Mini-Games: High-energy relay races, including “Team Walking” on planks and “Blindfolded Ball Picking”.
- The Assembly Challenge: After earning their toolsets through the challenges, teams gathered at the Carob Mill. In a race against time, they assembled 26 pieces of furniture (desks, bookcases, and chairs) and 6 bicycles for the Sagapo Children’s Foundation.
- Cypriot Night: The day ended with a traditional “Cypriot Night” at the Richard & Berengaria Ballrooms, preceded by a massive Zorba Flashmob in the Castle Square.
Day 2: The Superheroes Gala
- The Transformation: We transformed the Parklane Diamond Ballroom into a cinematic superhero universe.
- The Experience: Guests were greeted by models in professional Captain America, Batman, and Catwoman costumes.
- High-Flying Entertainment: The evening featured a custom-choreographed aerial dance show, with performers dressed as Spiderman and Wonderwoman performing high-wire stunts above the delegates.
Technical & Logistical Edge
- CSR Coordination: We managed the end-to-end logistics of the charity component, from sourcing the IKEA furniture and bicycles to coordinating with the Sagapo Children’s Foundation for immediate delivery to their “Free Hands” program location.
- Complex Branding & Production: Our team handled the production of 240 custom embroidered “Mistral” windbreakers and 250 branded backpacks. We also managed the customs and setup for 200 Instax Polaroid cameras used by teams to document their journey.
- Ballroom Rigging: Executing the gala required complex aerial rigging for the gymnasts and the installation of a custom superhero-themed backdrop and photo booth props (including Thor’s hammer and character masks).
The Results
The event achieved deep emotional resonance through the charity component and high praise for its professional execution.
