The Mission: Hosting the Global Energy Sector

In October, our team was appointed as the lead DMC for the HYDRO International Conference, the premier global gathering for the hydropower and dam engineering sector. Hosting 1,200 delegates from every continent, the objective was to provide a seamless transition from a high-density urban congress at the Ioannis Vellidis Conference Centre to an intensive technical exploration of Greece’s national energy infrastructure. The project required a delicate balance of high-protocol executive transfers, vibrant social events, and rugged field-expeditions to remote mountain dam sites.

The Canvas: Thessaloniki & The Macedonian Hinterland

The program utilized the historical and contemporary pulse of Thessaloniki as its hub, while extending its reach deep into the Macedonian and Epirus regions.

The Hub: We managed a complex housing and transport web across eight premium hotels, including the iconic Makedonia Palace, ensuring a “campus” feel for the 1,200 participants.

The Field: For the post-congress phase, the “venue” shifted to the vertical landscapes of the PPC (Public Power Corporation) dam cascades, requiring us to manage logistics in active industrial zones and remote mountainous terrain.


The Experience: From Urban Pulse to Engineering Marvels

The Metropolitan Congress

  • Tactical Shuttles: We orchestrated a constant shuttle loop between the primary hotels and the HELEXPO grounds, maintaining zero-delay momentum for 1,200 participants during peak morning and evening sessions.
  • Social Grandeur: The networking program moved through the city’s most prestigious venues, including gala evenings at the Thessaloniki Concert Hall and the Porto Palace, where we managed synchronized coach convoys for hundreds of guests simultaneously.

The Accompanying Partners Program

While delegates were in session, we curated a “Soul of Macedonia” journey for their partners:

  • Myth & History: Private expeditions to the Royal Tombs of Aigai (Vergina) and the mystical foothills of Mount Olympus, featuring guided hikes and visits to the St. Dionysios Monastery.

The Post-Congress Study Tours

The program concluded with specialized Technical Study Tours for engineering experts:

  • Hydro-Engineering in Action: Multi-day expeditions to the Pournari, Kastraki, and Kremasta Dams.
  • The “Plan B” Mastery: When last-minute complications arose at high-security dam sites, our on-site team successfully executed a rapid “Plan B” itinerary, ensuring that the technical objectives were met without compromising guest safety or satisfaction.

The Logistical Symphony: Managing the Moving Parts

  • Command & Control: We deployed a senior team of 14 Project Managers during peak periods to oversee airport arrivals, venue transitions, and simultaneous excursions, ensuring that a 1,200-person move felt personal and precise.
  • Technical Liaison: Our team served as the critical bridge between the international secretariat (EMS Ltd) and the Public Power Corporation (PPC), managing safety protocols and timings for sensitive visits to national infrastructure sites.
  • Industrial Hospitality: We transformed the logistical challenge of feeding and housing groups in rural regions into a highlight, managing high-standard 3-star and 4-star “boutique” stays in towns like Veria and Agrinio.
