I. The Brief
In June, Co-Mana tasked our team with delivering a high-impact, 5-day incentive program for approximately 60 VIP participants traveling from across the EMEA region. The objective was to provide an immersive “island-hopping” experience within Crete, showcasing the distinct characters of Heraklion, Rethymno, and Chania. The project required the management of three separate 5-star hotel check-ins, complex multi-region logistics, and a series of “out of the box” dining experiences that balanced authentic tradition with modern luxury.
II. The Concept: “Cretan Soul Across the Ages”
The program was designed as a rolling journey through Cretan history and landscape. We curated a narrative that moved from the Minoan majesty of Heraklion to the Venetian charm of Rethymno, concluding with the coastal elegance of Chania. The creative strategy utilized historical venues and authentic village settings to ensure guests felt the true “soul” of the island at every stop.
III. The Execution
Phase 1: Minoan Origins & Seaside Chic (Heraklion)
• The VIP Welcome: Guests arrived at Heraklion Airport via individual transfers and were settled into the Abaton Resort & Spa (5)*. Upon arrival, they received curated gift bags featuring local olive oil, honey, and traditional pastries.
• Dining: The welcome dinner was hosted at Bony Fish Restaurant within the resort, offering a sophisticated Mediterranean seafood experience overlooking the Aegean.
Phase 2: Artisans & Venetian Nights (Rethymno)
• Cultural Discovery: The group explored the Palace of Knossos before venturing to the pottery-making village of Margarites for a hands-on workshop.
• Urban Transition: After a traditional lunch at Mantalos Tavern, the group checked into Nautilux Rethymno (5)*. The evening featured a private dinner at Lemonokipos, set in a historic garden in the heart of Rethymno’s Venetian Old Town.
Phase 3: The Grand Celebration (Chania)
• Authentic Immersion: A visit to Agreco Farm allowed guests to participate in traditional honey and olive oil production, followed by a leisure session on paddle boats at Kournas Lake.
• The Cretan Night: We orchestrated a grand “Cretan Night” at Metohi Istoria, a historic estate.
o Highlights: A welcome cocktail in the courtyard accompanied by live Cretan Lyra and Guitar music, followed by a buffet feast and a high-energy traditional folklore dance show.
• The Seaside Finale: The program peaked in Chania with a guided “Sites & Bites” walking tour, a beach club afternoon at Ayia Marina, and a sophisticated farewell dinner at Periplous Restaurant, renowned for its seaside sunset views.
IV. Technical & DMC Edge
• Rolling Logistics: Managing a “moving” group required military precision. We coordinated luggage trucks to transport all guest bags between regions every morning, ensuring they were delivered to individual rooms before the guests arrived at each new hotel.
• Multi-Venue Privatization: We secured exclusive use of historic buildings and remote farms, managing on-site technical requirements including architectural lighting, mobile bars, and professional sound systems for live entertainment.
• Dietary Precision: Our team meticulously managed diverse dietary requirements—including specific allergies and pregnancy protocols—across seven different dining venues, ensuring an inclusive experience for every guest.
V. The Results
The program was a landmark success in regional coordination, delivering a seamless experience across three different cities in less than a week.
